There is no single setting that lifts a business on Google Maps. Google ranks local results by relevance, distance and prominence. Distance is outside your control; a complete Business Profile, the right category, regular reviews from real customers, consistent business information and strong location pages let you strengthen the other two signals.

How are rankings decided on Google Maps?

Google explains how it ranks local results on its own help pages: relevance, distance and prominence. These three axes are the most reliable way to understand why some businesses stand out in map results. Working from this framework, rather than tactics based on rumour, ensures effort goes where it actually has an effect.

  • Relevance: How well a profile matches what the searcher needs. Someone looking for a "children's dentist" may also see a general dental clinic, but a clinic that clearly describes this service in its category, services list and web page is a stronger candidate.
  • Distance: How far the business is from the searcher or from the location named in the search. If no location is specified, Google calculates distance based on what it knows about the user's location.
  • Prominence: How well known the business is, online and offline. Google says it considers review count and score, links, articles and directories across the web, and the business's position in organic search results.

The practical consequence of this framework is simple: the same business can appear at the top for a search made on one side of the city and not appear at all for a search made on the other. The question "where do we rank on the map?" has no single answer. The goal is to widen the area in which the business is visible by strengthening relevance and prominence. How do you optimise a Google Business Profile?

Profile optimisation is not just about filling in fields; it is about writing each field so that it answers the user's question. First, make sure the profile is verified and that ownership sits in the company's own account. Then work through the fields in the following order.

How do you choose the right category?

The primary category should describe what the business is in the narrowest and most accurate way. Before choosing, it is worth checking which categories the competitors ranking at the top for your target searches are using. Secondary categories should cover services you genuinely offer; adding unrelated categories does not strengthen relevance, it blurs the profile.

How should services and the description be written?

The services list should use the words customers use. Choosing the phrase a customer types into the search box, rather than an internal industry term for a procedure, directly strengthens the relevance signal. In the description, explain in plain language what the business does, who it serves and what sets it apart; avoid keyword repetition and sentences packed with promotional language.

What are photos, posts and questions and answers for?

Real photos make it easier for users to decide: exterior, entrance, interior, team and the service itself. Use images that show the business as it is today rather than stock images, and refresh them as the premises change. Posts are for offers, events and announcements; their main value is giving visitors to the profile the impression of an active, up-to-date business. The questions and answers area is a chance to answer common questions in the business's own words. Google changes these features from time to time, so check regularly which ones are available on your profile.

Why do opening hours matter so much?

A wrong opening time can bring a negative review as well as a lost customer. Alongside regular hours, enter public and religious holiday hours in advance; if kitchen, delivery or appointment hours differ, show them in the additional hours fields. Regularly reviewing edits suggested by users or by Google stops the information on your profile from changing without your knowledge.

How do reviews affect rankings, and which methods are prohibited?

Reviews are part of the prominence signal and also shape the user's final decision. What works is a steady flow of reviews that describe the service in concrete terms. When asking a customer for a review, reminding them which aspect of their experience they could describe produces more informative text than short reviews along the lines of "it was great".

Google's policies are clear on this, and violations can lead to the profile being restricted or suspended. Stay away from the following:

  • Buying reviews or offering discounts, gifts or rewards in exchange for reviews.
  • Asking only customers you believe are satisfied for reviews and filtering out the rest.
  • Employees, relatives or the agency writing reviews on the business's behalf.
  • Writing, or arranging, negative reviews of competing businesses.
  • Having customers submit reviews from a single device at the business.

Reply to every review. For negative reviews, instead of becoming defensive, write a short reply that acknowledges the problem and moves the resolution to a private channel. These replies are written less for the reviewer than for the future customers reading the profile.

How is NAP consistency achieved in practice?

NAP stands for the business's name, address and phone number. Most businesses know the principle of consistency; the problem appears when the information changes. A move, a new phone number, a change of trading name or a new call centre number leaves the old information on many platforms.

The practical approach is to keep a single master record of business information and apply every change first to the website, then to the Business Profile, then to other map apps, directories and social profiles. If a call tracking number is used to measure campaigns, entering it as the primary phone and keeping the business's main number in the additional phone field protects both measurement and consistency. Choose one format for the address too: abbreviations, neighbourhood name and floor details should appear in the same order everywhere.

For multi-location businesses, the website field of each Business Profile should link to the relevant location's page rather than the home page. A location page supports the profile's relevance signal with the address, directions, opening hours, services offered at that location, the team, real photos and location-specific questions. Adding a tracking parameter to this link lets you see visits from the profile separately in analytics.

The web side of the prominence signal is fed by local links. Neighbourhood and city news sites, trade and professional chambers, local events you support, suppliers and business partners are natural sources of links and mentions. Does local SEO affect AI answers?

It does. Questions such as "vet near me open on Sunday" are now also answered in Google's AI summaries, in AI-assisted answers within Maps and in chat assistants. These answers are largely compiled from business profiles, review text and information on the business's website. How is map performance measured?

Use three sources together:

  1. Business Profile performance data: Profile views, the search terms that surfaced the profile, calls, direction requests, messages and website clicks.
  2. Search Console: Which queries location pages appear and get clicked for, and trends in local queries.
  3. Analytics: How visits from tracked links on the profile convert into appointments, form submissions or sales.

Why do I sometimes appear on the map and sometimes not?
Local results change with the searcher's location, the phrase they use and their device. A search made near your business and one made from elsewhere in the city return different results. That is why visibility should be measured not from a single point but from different points across the area you serve.
Do profile posts improve rankings?
Google does not say that posts have a direct effect on rankings. Their real value is showing visitors that the business is active and presenting information such as offers, events or new services at the moment of decision. Regular posts based on real information are more useful than empty repetition.
Does using a call tracking number harm consistency?
Not if it is set up correctly. Entering the tracking number as the primary phone on the Business Profile and keeping the business's main number in the additional phone field is a common approach. Keep using the main number on the website and in directories, so measurement works and business information stays consistent.
What should I do if my profile is suspended?
First check whether the profile information follows Google's guidelines: business name, address, category and website. After fixing the issue, use Google's appeal process and have documents and photos ready that prove the business is genuine. Opening a new profile for the same business usually makes the problem worse.
